Our booking and payment processes are designed to be secure, flexible, and transparent for your convenience.

Booking Process:

• Reservations can be made via our website, email, or phone.
• Provide accurate details about your group size, preferences, and special requirements.
• Receive a detailed itinerary and quote for approval.
• A reservation is confirmed once a deposit is received and written confirmation is issued by Kalis Safari.

Payment Requirements:

• A minimum deposit of 30% is required to secure your booking.
• The remaining balance is due at least 30 days prior to departure.
• For last-minute bookings, full payment may be required.
• We accept payments via bank transfer or credit card (subject to prior arrangement).

Payment Terms:

• All prices are quoted in USD unless otherwise specified.
• Prices include all specified services, accommodations, and activities.
• Additional costs for optional activities or personal expenses are not included.
• Currency fluctuations may affect final pricing.

We understand plans can change, but please note our cancellation policy to avoid unexpected charges.

Cancellation Policy:

• Cancellations must be submitted in writing via email.
• Cancellations made 30 days or more before departure are eligible for a 70% refund.
• Cancellations made between 15–29 days before departure receive a 40% refund.
• Cancellations within 14 days of departure or no-shows are non-refundable.

Refund Process:

• Refunds processed within 14-21 business days.
• Bank fees or transfer costs deducted from refund amount.
• Credit card refunds may take additional time depending on issuer.
• No refunds for unused portions of the tour.

Operator Cancellations:

• If Kalis Safari cancels your tour, you may choose between a full refund or an alternative tour of equal value.
• We reserve the right to cancel tours due to insufficient participants (minimum 2 persons).
• No liability for costs incurred due to cancellation (e.g., flights).

We strive to accommodate changes to your booking whenever possible.

Amendment Policy:

• Amendments must be requested in writing.
• Booking amendments are subject to availability and may incur additional charges.
• Changes to dates, itineraries, or group size may affect pricing.
• Changes requested within 14 days of departure may be subject to administrative fees.

Fees and Charges:

• Administrative fee of $20 per change.
• Supplier fees (hotels, transport) passed on to client.
• Price differences for upgraded services paid by client.
• No fees for minor changes like meal preferences if notified in advance.

Ensuring you have all necessary documents and preparations is crucial for a smooth journey.

Documentation:

• Clients are responsible for ensuring they possess valid passports, visas, and any required travel documents.
• Passport must be valid for at least 6 months beyond return date.
• Visa requirements vary by nationality - check with embassy.
• Children require birth certificates and parental consent if applicable.

Health and Safety:

• It is your responsibility to obtain recommended vaccinations and adhere to health precautions (e.g., malaria, yellow fever).
• Consult your doctor for personalized medical advice.
• Inform us of any medical conditions or dietary requirements.
• COVID-19 protocols may apply based on current regulations.

Proper insurance coverage is essential for your protection during travel.

Requirements:

• Comprehensive travel insurance is mandatory.
• Must cover medical emergencies, cancellations, and personal belongings.
• Include coverage for adventure activities like trekking.
• Proof of insurance may be requested prior to departure.

Recommendations:

• Evacuation coverage for remote areas.
• Baggage delay and loss protection.
• Trip interruption insurance.
• We can recommend insurance providers upon request.

While we prioritize safety, certain risks are inherent in adventure travel.

Risk Acknowledgment:

• Participation in safari activities is at your own risk.
• Clients must adhere to all safety instructions provided by our guides.
• Sign waiver acknowledging inherent risks.

Limitations:

• Kalis Safari is not liable for incidents resulting from wildlife behavior, weather conditions, or third-party services.
• No liability for lost or damaged personal items.
• Maximum liability limited to tour cost.
• Not responsible for flight delays or missed connections.

Certain events beyond our control may affect your tour.

Kalis Safari shall not be held responsible for delays or cancellations caused by events beyond our control, including but not limited to war, strikes, pandemics, or natural disasters. In such cases, we will work to provide alternatives or refunds where possible, minus irrecoverable costs.

Our operations are governed by Tanzanian regulations.

These terms are governed by the laws of Tanzania. Any disputes shall be resolved under Tanzanian jurisdiction. We encourage amicable resolution before legal action.
